Overview
The Office of Community Standards, the Title IX Office, and University Housing utilize Maxient for email correspondence to students. Maxient is a software for managing behavior records used at over 1300 institutions across North America.
A letter from the Office of Community Standards or University Housing is official correspondence on behalf of Jacksonville State University. In order to access the contents, students must use their MyJaxState login information and enter their student ID number.
Receiving a Letter
The letter will be sent to your Jacksonville State University email address.
Subject: Correspondence for Case (Name)
THIS IS AN OFFICIAL CORRESPONDENCE FROM COMMUNITY STANDARDS AT JACKSONVILLE STATE UNIVERSITY
A letter has been issued to you electronically by our office. Upon clicking the link below, you will be taken to a screen displaying your name and requesting an access code to ensure confidentiality. Confirm that your name appears on the screen, and then enter your campus username and password. If you are receiving this notice in your capacity as a leader of a campus organization, you should contact our office immediately to request the appropriate access code for your organization.
Your letter will appear in PDF format and should be printed or saved for your records. It will remain accessible through this link for 30 days. If the letter fails to appear, you may need to use a different computer or install the free Adobe Acrobat Reader. If you continue to experience difficulty accessing your letter or wish to confirm the legitimacy of this message, please contact our office at 256-782-8080.
You will click the red button at the bottom of the email that says, “Pick up your letter”.
Text Message Notification of Letter
If your cell phone number is registered with the University, you will receive a text notification that a letter has been sent to you.
Contents of the Letter
The initial letter you receive will depend on the nature of the concern provided to the university. There may be alleged violations of the Code of Student Conduct, which are issued in response to an incident that has occurred. These allegations represent the University’s concerns based only on the information provided to our office. Students or student organizations/groups have not been found responsible and will have an opportunity to respond to the allegations.

- Notice of Investigation
- Prescribed Resolution Process Notification
- Administrative Hearing Notification
- Meeting Request / Hearing Appearance Notice (Witness)
- Notification of an Interim Measure (e.g., Mutual No Contact Order, Interim Suspension, etc.)
- Notice of Investigation & Educational Conference (Organizations)

Attend the Meeting or Hearing
The letter will provide details about the meeting, or it will inform you that a meeting will be scheduled with you soon. Actively participating in the conduct process is in your best interest. If you need to reschedule the meeting or hearing, please contact the Office of Community Standards or the sender listed in the letter from University Housing.
